Job Description
The Administrative Assistant take leadership of all vital office functions, including the coordination of priority actions, correspondence control, inter-departmental liaison and the provision of advice, communication, intelligence, analysis and interpretations.
Job Responsibilities
Below are the main job requirements and responsibilities for the Administrative Assistant.
- Coordinates all priority actions; on time-sensitive information, situations or conditions which could cause embarrassment or exposure to the Corporation if not dealt with promptly, discretely and tactfully and ensures prompt, effective follow-ups.
- Coordinates the receipt of Board of Directors submissions and responses to decisions of Management Committees and requests for additional information in Head Office and Divisions as required.
- Composes documents and presentations including briefing material for Management Committees.
- Safeguards all confidential, sensitive and personal information.
- Controls the flow of correspondence in and out of the office by promoting prompt responses with minimum resource utilization.
Job Responsibilities (continued)
- Acts as the representative, as delegated, to committees and other forums both in Head Office and the field.
- Gathers and provides intelligence to the community in Head Office and the field based on a careful analysis and evolution of possible ramifications and impacts.
- Undertakes special projects as requested by utilizing Head Office/Field resources. Provides analysis and recommendations, as appropriate.
- Indirectly supervises other secretaries in the function by providing guidance, standards, ensuring consistency in procedures.
- Performs other duties such as arranging for travel and accommodation, requisitioning cheques, prepares travel claims, prepares budgets, includes monthly and year end variances analysis, LAVIS reports, requisitioning materials, supplies and equipment, requests repairs and services for office equipment.
Qualifications
Education
- Completion of secondary school according to provincial standards or equivalent (GED) is required.
- Completion of post-secondary (College/University) courses may be required.
Experience
- One to three years of experience in a secretarial/administrative assistant role - experience in this role at the executive level will be considered a strong asset.

- Proficient computer skills and competent with Microsoft Office programs.
- Strong organizational, prioritization and time-management skills.
- Good interpersonal skills.
- Strong oral and written communication skills.
