Job Description

Under the leadership of the Manager, Real Estate Transactions and in an outsourced environment, provides support and specialist advice in all aspects of Real Estate related activities for both leased and owned properties including acquisitions and dispositions and liaises with Real Estate functional groups including budget planning, forecasting and variance analysis.

Job Responsibilities

  • Communicates with the Service Provider (SP) on corporate requirements and priorities regarding real estate transaction activities and processes. Provides updates to SP on changes to transactions policies, practices and priorities.


  • Advises SP, internal and external resources on the practices and roles of property management/lease administration with regard to leased facilities and tenants in corporate facilities. Provides information, advice and interpretation services regarding leasing acquisition and disposition activities, contracts, industry practice and general real estate issues to functional groups


  • Monitors upcoming new locations, renewals, location changes/closures and oversee SP timely completion of renewals to ensure deadlines are met. Ensures lease contract renewals are executed in a timely fashion to minimize risk or added expense to the Corporation.


  • Provides support in the selling of surplus owned facilities and the subleasing of surplus owned (Lettings) and leased facilities based on market value to minimize costs and maximize revenue including the execution of competitive commercial leasing and letting practices, conditions and trends.


  • Reviews, approves and confirms deals/contracts negotiated by SP are within market and in line with corporate approval and policies, obtaining additional approvals where negotiated contract terms are outside pre-approved limits. In conjunction with the SP reviews and prepares documentation of offers to lease, leases, lease extensions, renewals, amendments and real estate related initiatives that may arise.

Job Responsibilities (continued)

  • Consults with Risk Management, Legal Affairs, Tax Services, Government Relations, property managers and outside service providers to protect the Corporation’s interests. Communicates with landlords, tenants, brokers or other governmental authorities for any issue outside SP scope.


  • Assists Facilities Management and Project Delivery teams when they seek clarification on construction and repair responsibilities in the lease. Contributes transactions expertise as a team member in real estate projects such as relocations, new builds, leases and process developments.


  • Reviews and recommends monthly occupancy costs/payments as processed by SP lease administration and finance teams. Validates rental and ad-hoc payments. Works with corporate finance to satisfy IFRS classification and reporting requirements.


  • Provides input and support in the development and implementation of strategic plans, policies, guidelines, standards, procedures and processes covering all aspects of real estate activities. Ensures standard documents, specifications, proposals, leases and other contracts utilized are up to date, effective, consistent, market competitive and in keeping with private sector best methods and practices.


  • Reviews or prepares market analysis in support of the development of business cases and ad hoc evaluations of real estate alternatives and initiatives being planned or considered.


  • Assists in the development and implementation of marketing plans by the SP to maximize rental revenues and realize maximum sale price in the disposition of surplus facilities. Provides support in the renting out of vacant surplus space and disposal of surplus corporate facilities. Reviews or conducts cost benefit and business case analysis to calculate payback on capital investment required to complete a tenant letting.


  • Performs other related duties, including support with the budget planning process.




  • University degree in related field



  • A minimum of 3 – 5 years’ experience in negotiating, preparing and administering commercial real estate lease documentation


Other Candidate Requirements

  • Understanding of commercial real estate development types such as new builds, expansions and respective landlord/tenant responsibilities
  • Knowledge of commercial ease administration, budgeting, variance analysis and cost/rent reconciliation
  • Strong written and verbal communication skills
  • Process driven with excellent attention to detail
  • Strong commercial real estate documentation skills
  • Excellent organizational and prioritization skills with the ability to manage concurrent projects and meet deadlines
  • Ability to think and act strategically and understand economic, market and real estate conditions
  • Proven experience using Microsoft Office products (word, excel and power point)
  • Basic understanding of SAP is considered an asset
  • Exceptional client/stakeholder service skills



Other Information

  • An eligibility list will be established following the competition for a twelve (12) month period.
  • 18 month temporary assignment with possibility of extension or permanency
